LUMA Knowledge Base: NAB Light Photography

This is a structured source of truth for LUMA, not a public marketing page.

Assistant Rules

  • NAB Manager package data is the final authority for current pricing, discounts, retainers, availability, and package inclusions.
  • Use this knowledge base for studio policies, explanations, and FAQs.
  • Ask one intake question at a time.
  • Before saving any response, determine whether the user answered the active question or asked a separate question.
  • If the user interrupts intake with a question, answer it, then resume the unanswered intake question.
  • Never store questions such as “What is the weather?” or “Can I bring my kids?” as a name, date, location, or other form answer.
  • Never invent availability, current weather, prices, turnaround promises, discounts, delivery dates, or contract terms.
  • Do not call an intake submission a confirmed booking. A date is confirmed only after availability is approved, the agreement is completed, and the retainer is received.
  • RAW and unedited files are not delivered.
  • If unsure, say LUMA does not want to guess and offer to send the question to Rick by email or text.

Business Overview

What is NAB Light Photography?

NAB Light Photography is a Central Florida photography business serving Marion County and surrounding Central Florida communities. Services include portraits, graduates and seniors, couples, families, pets and animals, brands, products, events, commercial work, creative concepts, sports, teams, and Florida landscapes.

Who is the photographer?

Rick is the photographer behind NAB Light Photography.

Why is it called NAB Light?

NAB represents Rick’s children: Nelli, Aubree, and Berlin. The name originally reflected Nelli and Aubree, then grew when Berlin was born. “Light” refers both to photographic light and to the personality, connection, and story each subject brings in front of the camera.

How would you describe the photography style?

The style is natural, warm, honest, and connection-focused. Sessions use thoughtful light, relaxed direction, guided posing, movement, and room for real expression. Finished photographs are polished while still feeling true to the client, family, animal, or brand.

What makes NAB Light sessions different?

Clients receive clear preparation and direction without being forced into a rigid sequence of poses. Rick guides posture, placement, movement, timing, and expression while leaving room for laughter, connection, pauses, personality, and unexpected moments.

What should clients expect from Rick during a session?

Clients should expect a calm, collaborative photographer who provides clear direction, watches the light, adapts when needed, communicates throughout the session, and gives people or animals time to settle in. Clients are not expected to know how to pose.

Services

What types of photography are offered?

Portraits, seniors and graduates, couples, engagements, families, children, pets and animals, brands, products, sports, teams, events, commercial projects, creative concepts, crafted scenes, celebrations, and Florida landscapes. Work outside standard packages is custom quoted.

Are children welcome?

Yes. Children are welcome. Include ages, comfort needs, mobility concerns, and anything Rick should know to keep the session comfortable and safe.

Are pets allowed?

Yes. Pets are welcome. A $25 pet fee applies when a pet is added to a session that is not already a dedicated pet photography session. Dedicated pet sessions do not have the additional pet fee. Clients should share temperament, mobility, comfort, handling, and safety information.

Can clients bring props?

Yes, reasonable props that support the session concept may be brought after discussing them with Rick. Large, hazardous, disruptive, illegal, or location-prohibited items may be declined.

No. Payment plans are not currently offered.

What payment methods are accepted?

Cash, Visa, American Express, and PayPal are accepted. The available electronic method may depend on the invoice or checkout presented.

Booking

How does a client request a session?

Begin the booking intake with the session type, preferred date, location, contact details, people count, and vision. Submitting an intake does not reserve a date.

When is a date reserved?

A date is reserved after availability is confirmed, the agreement is completed, and the required retainer is received.

Is the retainer refundable?

The 25% retainer is normally non-refundable because it reserves the date and begins planning. A documented serious emergency, such as a death in the immediate family, may be reviewed individually by Rick. Approval is not automatic.

When is the remaining balance due?

The remaining balance is due no later than the day of the photoshoot and must be paid before photography begins unless a written arrangement says otherwise.

Can a client change locations after booking?

Yes. A client may request a location change within one week after booking, subject to availability, permits, travel limits, safety, and any resulting fees. Later changes may be considered but are not guaranteed.

Can clients suggest a location?

Yes. Clients may suggest locations. Rick can recommend locations when the client does not have one.

How many outfit changes are included?

Outfit changes vary by package, session length, location, and creative plan. LUMA must use the selected package settings or ask Rick rather than promise a fixed number.

Travel

Where does NAB Light travel?

NAB Light serves Central Florida and surrounding Central Florida areas. Travel outside the practical service area requires approval and a custom quote.

How are travel fees calculated?

Travel within 30 driving miles of central Ocala is included. Beyond 30 driving miles, charge $0.75 per additional round-trip mile, with a $25 minimum travel fee. Tolls, parking, admission, permits, lodging, and special-access costs are added at actual cost. Long-distance, event, or commercial travel may be quoted separately.

Formula: max($25, additional round-trip miles beyond the included radius × $0.75) + tolls + parking + permits + other required access costs.

Weather

What happens if it rains?

Rick and the client jointly decide whether to continue, adjust timing or location, move indoors, make creative use of light rain, or reschedule. Unsafe conditions will not be ignored.

What if only light rain is expected?

Light rain is discussed rather than automatically canceled. Options may include moving indoors, using a covered location, adjusting timing, working creatively with the conditions, or rescheduling.

Can a client receive a refund if weather prevents the session?

The normal first option is to transfer the session and payments to a mutually available date. If weather makes the session impossible and rescheduling is genuinely not workable, Rick may approve a refund of payments beyond the non-refundable retainer. If Rick cancels and cannot provide a reasonable replacement date, a full refund, including the retainer, may be issued.

Cancellations and Rescheduling

How much cancellation notice is requested?

Clients should provide at least 7 days’ notice whenever possible.

What happens when a standard session is canceled?

The retainer normally remains non-refundable. Amounts paid beyond the retainer may be refundable depending on timing, costs already incurred, delivered work, and the written agreement. Serious emergencies may be reviewed individually.

Can a standard session be rescheduled?

Yes, when approved and another date is available. The retainer may transfer to the replacement date. Repeated or last-minute changes may require a new retainer or additional fee.

Are mini sessions refundable?

No. Mini sessions are non-refundable.

Can mini sessions be rescheduled?

A mini session may be moved to an available mini-session slot or another approved date when the schedule allows. Rescheduling is not guaranteed.

Can extra time be added to a mini session?

No. Extra time cannot be purchased for a mini session. Book a standard or custom session when more time is needed.

Session Preparation

What if a client does not know how to pose?

That is expected. Rick provides relaxed direction for posture, placement, movement, timing, and expression.

What does the Session Planner do?

The Session Planner organizes setting, timing, wardrobe, mood, weather, color coordination, backup options, and creative direction.

What does the Must-Have Shot List do?

It records important people, groupings, poses, details, interactions, products, or moments. It guides preparation but cannot guarantee every listed photograph when timing, safety, cooperation, weather, venue rules, or changing conditions interfere.

Editing and Delivery

How are photographs delivered?

Selected, professionally edited photographs are delivered through a private online gallery for viewing and full-resolution download.

Are RAW or unedited files delivered?

No.

How long does editing take?

  • Mini Session: about 7–10 business days.
  • Portrait Session: about 10–14 business days.
  • Family Session: about 14–21 business days.
  • Pet Session: about 10–14 business days.
  • Brand, product, sports, team, or custom portrait work: about 2–4 weeks.
  • Events or extended custom coverage: about 3–6 weeks.

These are estimates, not guaranteed deadlines, unless a written contract states otherwise.

Are sneak peeks provided?

Sneak peeks may be provided when workflow allows, but they are not promised unless included in writing.

Can clients purchase additional edits?

Yes, when available.

How long do galleries remain online?

Galleries remain online for 30 days after delivery and may then be permanently deleted. Clients should download and back up all photographs before expiration. Restoration is not guaranteed and may require a fee if recovery is possible.

Copyright and Usage

Who owns the copyright?

NAB Light Photography retains copyright unless a separate written transfer says otherwise.

Can personal clients print and share photographs?

Yes. Personal-use clients may print and share delivered final photographs, including on social media.

Can businesses use images commercially?

Not under a standard personal-use license. Advertising, marketing, paid promotion, packaging, resale, publication, business websites, commercial social media, or other revenue-related use requires an appropriate written commercial license defining approved use, term, territory, media, exclusivity, and fees.

Will client images be posted online?

Images may be considered for NAB Light’s portfolio, website, social channels, samples, or studio promotion unless a different written arrangement is made before booking. Contract or release selections control when applicable.
